First Mount Zion Baptist Church is seeking a Ministry Coordinator to provide support to the Minister of Christian Education and the ministries of the Christian Education Department (CED). The individual in this role helps to ensure the needs of the CED are met and necessary assessments, volunteer staff, tools, and other resources are available to successfully fulfill the Department’s mission. The candidate must have demonstrated experience planning, scheduling, coordinating, and monitoring activities and special events, to include the ability to problem solve and offer solutions when difficult or challenging situations arise.  This individual must have strong interpersonal and communication skills necessary to work with a dynamic and growing congregation, and demonstrate proficiency with MS Office. The candidate must be able to work a flexible work schedule to include evenings, weekends, staff meetings, ministry planning meetings, and retreats.  The candidate works in a general office setting in a dynamic Christian environment, and must possess the ability to perform typical tasks associated with an office environment, such as use of a keyboard.  The specific physical demands of the job will be provided during the interview process. Job Purpose or Summary

The Ministry Coordinator (CED) is primarily responsible for performing administrative activities that support the mission of the First Mt. Zion Baptist Church (FMZBC) Christian Education Department (CED).  The Ministry Coordinator (CED) works closely with the Christian Education Minister, FMZBC staff, leadership, and volunteers to fulfill the responsibilities of this administrative role.

Essential Duties and Responsibilities

  • Supports the CED Minister and ensures the success of the CED by providing higher-level administrative and analytical support; plans, organizes, coordinates, and assesses various CED projects, programs and services.
  • Serves as CED’s representative attending weekday, evening and weekend ministry, activities and events; on an as needed basis may provide information and explanations regarding CED policies and procedures and/or may provide briefings or presentations during meetings to convey information regarding CED matters; provides CED Minister with meeting updates and feedback (e.g., concerns, issues and ideas).
  • Monitors CED activities that occur during Sunday worship services and weekday evenings; assists with the administrative coordination of activities; on an as needed basis provides support to CED volunteer staff, including providing recommendations, resolving challenges, problems, and emergencies that may arise.
  • Establishes and maintains a CED calendar of approved events; serves as CED’s primary point-of-contact (POC) for questions pertaining to CED Ministry calendar changes, and/or building use request form and provides continuous coordination and follow-up to ensure all parties involved with organizing and supporting CED events are fully informed when changes occur.
  • Communicates effectively with a diverse group of volunteers, FMZBC staff, leadership, contractors, community members and external contacts while performing the responsibilities of the position and serving as POC for various outreach ministry efforts.
  • Assists CED Minister with assessing staffing needs for CED programs and events; engages in active recruitment efforts, to include managing automated or manual volunteer lists, solicits volunteer assistance through telephone and/or personal contacts, and serves as CED’s POC during recruitment efforts.
  • Assists with the planning, development and execution of FMZBC strategies supporting the CED ministries; conducts research, disseminates surveys, collects and analyzes data to assist CED Minister with the implementation of performance metrics established to measure CED program performance.
  • Provides coordination and assistance with the transition of manual data to electronic formats, to include compiling manual files, ensuring file accuracy, collaborating with technical support to ensure accurate entry of data into electronic systems; and may serve as system administrator to manage user access and report generation of electronic data systems supporting CED ministries.
  • May assist in budget preparation and administration.
  • Attends staff meetings, FMZBC retreats, and professional development activities as assigned
  • Produces, reviews, or edits memos, charts, tables, general correspondence, business plans and reports; proofreads copy for spelling, grammar and layout, making appropriate changes as needed. Responsible for accuracy and clarity of final copy.

Education and Experience

Bachelor’s degree with no experience.

Job Purpose or Summary
The Information Technology Department’s Multimedia Manager (MM) position is primarily responsible for meeting the information technology (IT) and audio visual (AV) demands of a dynamic and growing church.   The individual in this position is responsible for ensuring AV and IT systems are effectively maintained, operational, and consistently available to deliver continuous quality service and programming to support the activities and staff of FMZBC.  The MM supervises the Audio Visual Director, the AV/IT Administrative Assistant, and a number of volunteers.

Essential Duties and Responsibilities

  • Manages IT and AV preparation and execution to ensure the following technical needs are met: Sunday worship services and special events, day-to-day FMZBC operations, and weekly evening meetings and functions.
  • Provides ongoing support to FMZBC staff to ensure daily IT and AV operational needs are met.
  • Leads and guides IT and AV staff (e.g., part-time and volunteers) by employing effective leadership strategies that include but not limited to: mentoring and coaching, training, establishing clear performance expectations, appraising performance, recognizing good performance and addressing poor performance.
  • Assesses staffing needs, engages in recruitment activities, selects qualified volunteers and/or permanent hires, provides orientation and training, and assigns staff and volunteers to FMZBC ministry services to ensure IT and AV needs are met.
  • Collaborates and partners with IT contractors who maintain FMZBC’s network systems and provide help desk support.
  • Develops and implements operational guidelines and standard operating procedures to reduce errors and increase FMZBC’s staff and volunteers user knowledge, which promotes effective execution of their IT and AV tasks.
  • Designs, develops and implements standards of practice intended to build-up user confidence and facilitate use of IT and AV to enhance ministry effectiveness (e.g., delivery of the spoken Word, classroom instruction, programming, presentations, delivery of song, instrumentation, dance and dramatization).
  • Serves as a software application administrator for the purpose of executing administrative duties to include, but not limited to, setting-up user accounts, determining appropriate access levels, assigning access to users, running diagnostic tests, accessing and analyzing application reports.
  • Oversees project planning and ensures successful implementation of software change and updates; ensures software users are trained when software changes or updates occur.
  • Provides ongoing evaluation of IT and AV infrastructure and outcomes to ensure adequate functionality and alignment with the mission and growing needs of the various church ministries.
  • Conducts appropriate troubleshooting protocols and diagnosis, and takes appropriate action to mitigate or resolve system problems; collaborates with internal and external technical advisors to identify and resolve system issues; and make recommendations for resolving highly complex technical problems that require intervention from other external sources.
  • Oversees the budget process, which includes budget planning, development, implementation, and monitoring throughout the year; develops written justification; initiates mid-year adjustments and completes end-of-year budget reports; prepares presentations detailing budget request and status.
  • Assesses IT and AV equipment and software needs and conducts research to maintain awareness of current IT and AV trends; as needed, prepares procurement plans with appropriate acquisition and delivery timelines; implements timely procurement plans.
  • Participates in staff and production meetings, as well as a variety of other meetings as needed.
  • Participates in FMZBC sponsored training and/or employee development activities.

Job Qualifications
Knowledge, Skills and Abilities

  1. Ability to manage complex and integrated information technology and audio visual systems common to a church environment, including but not limited to technically supporting all worship services, special events and ministry activities.
  2. Ability to lead part-time staff and volunteers and manage a small IT department.
  3. Ability to determine staffing needs and engage in internal and external recruitment efforts to fulfill department and/or project needs.
  4. Ability to train staff and volunteers to use IT and AV equipment for the purpose of technically supporting worship services and special events, as well as performing ministry responsibilities.
  5. Ability to develop, implement and monitor a budget, and complete appropriate budget-related written reports and/or orally report on budget status.
  6. Ability to develop IT and AV policies, guidelines, and standard operating procedures.
  7. Ability to diagnose, troubleshoot and resolve IT and AV problems, including working with other technical professionals to assess complex issues and resolve.
  8. Ability to conduct research and stay abreast of IT and AV best practices, current, and future trends in order to develop short and long-term improvements and recommendations to ensure equipment and software stability, integrity and ongoing performance.
  9. Ability to apply project management techniques to ensure complex and long-term projects are managed effectively and critical timelines met.
  10. Ability to utilize Microsoft Office products such as Word, Excel, PowerPoint, etc.
  11. Ability to effectively communicate with FMZBC members, staff and volunteers for the purpose of identifying IT/AV needs, identifying issues or challenges, and providing overall exceptional customer service.

High School diploma with ten or more years of experience working in the information technology and audio visual fields, with a minimum five years of experience working in a church environment.
